Job Overview:

Job Title: Operations Associate – Inventory, Customer Service, and Client Relations
Location: Hybrid/Boston, MA
Reports to: Head of Operations and Product Development

We are a relatively early-stage start-up and growing rapidly. The ideal candidate for this role is curious, detail-focused, and solution-oriented with strong problem solving skills. We are looking for someone who is willing to roll their sleeves up to get the job at hand completed while having fun doing it.

We are seeking a proactive and detail-oriented Junior Operations Manager to join our team. In this role, you will manage key operational areas including inventory management, customer service, and client relations. You will ensure smooth day-to-day operations, efficient inventory processes, and high-quality service to both internal and external clients. This is an excellent opportunity for someone looking to build their career in operations and gain hands-on experience in a fast-paced environment.

The ideal candidate for this position has experience in logistics, inventory planning and client services. This role is hybrid and based in Boston, MA with optional remote work a few days a week and travel to client sites expected.

Key Responsibilities:

  • Inventory Management:

    • Coordinate all client shipments, from sales samples to full deployments

    • Oversee the day-to-day management and replacement of inventory, including tracking client needs  and ensuring timely shipments

    • Collaborate with the Head of Operations and Sales to maintain optimal inventory levels and prepare forecasts

    • Conduct regular audits to ensure accuracy and efficiency in inventory control.

    • Periodic travel to our 3PL location in Smithfield, RI

  • Customer Service:

    • Serve as the point of contact for resolving customer service issues, ensuring a positive experience for all customers.

    • Oversee and collaborate with the Customer Service team to manage customer inquiries and complaints through email, phone, and other channels.

    • Work with Sales and Ops to Implement processes to improve the overall customer service experience.

    • Escalate issues in the organization effectively when needed.

  • Client Relations:

    • Coordinate with internal teams to ensure that client expectations are met in a timely manner.

    • Manage client implementations through Asana, assuring product availability and timely launches.

    • Travel to client sites for program launches and assist with program adoption.

  • Operational Support:

    • Assist in process improvements across the supply chain, customer service, and operations.

    • Provide regular reports to the Head of Operations on inventory levels, customer feedback, and client satisfaction.

    • Support cross-functional teams including Sales, Operations and Technical Development teams  to ensure seamless communication between operations, sales, and customer service.

    • Manage vendor relationships and portal compliance.

Requirements:

  • Bachelor’s degree in Business, Supply Chain Management, or related field (or equivalent experience).

  • 2+ years of experience in operations, inventory management, or customer service.

  • Strong organizational skills and attention to detail.

  • Excellent communication skills, both written and verbal.

  • Ability to multitask, prioritize, and meet deadlines in a fast-paced environment.

  • Experience with inventory management systems or software is a plus.

  • Team-oriented with strong problem-solving skills.
